Occupancy is a design input, not an obstacle

A building in use imposes real constraints. Areas cannot be closed at will, noise has limits, contractors need supervision around children and vulnerable people, and there are hours when certain spaces simply cannot be entered.

These are inputs to the plan rather than problems to solve at the end. The practical effect is that installation is sequenced by area rather than by task, so work moves through the building space by space and disruption stays local and short.

Schools have term dates, inset days, exam periods and holiday clubs. Offices have quiet weeks and busy quarters. Construction sites have phases. Any of these can be worked with, and the plan is always better when the calendar comes up in the first conversation.

Tell staff in advance what will happen, when, and what it will sound like, with an explicit statement that it is a test. An unannounced alarm in a building that has recently been discussing lockdown procedures causes exactly the reaction you would expect.

A system nobody has been shown is a system that will not be used well. Handover should cover who can trigger it, how the all-clear works, what the indicators mean and what to do if a device shows a fault.

Schedule that session when the relevant people can actually attend, rather than on the last afternoon of the works. The installation is a few days. The procedure is what you live with.

What a typical installation week looks like

Every site differs, but the shape of the work is fairly consistent and knowing it helps you plan cover, access and communications. On a single-site school with wireless devices, the sequence usually runs as follows.

  • Days two to three: working through remaining zones area by area
  • Programming and configuration, which is quiet and can happen alongside

A short note in advance covering what is being installed, why, and when the testing will happen removes almost all of that. For parents, a brief line in a newsletter framing it as part of routine safety improvement is usually enough, and it is far better than the question arriving unprompted.

For pupils, the framing depends on age and your safeguarding judgement. Younger children in particular benefit from knowing that a new sound exists and that hearing it during testing does not mean anything is wrong.

The practical logistics are what usually determine whether an install runs to programme. Someone needs to provide access to every space, including cupboards, plant rooms and any locked areas that turn out to matter.

On school sites, safeguarding requirements mean contractors need appropriate checks and supervision arrangements agreed in advance. This is routine, but it is worth confirming before the first day rather than discovering a gap on the morning.

After the installers leave

The system being installed is not the same as the system being embedded. The weeks after handover are when a site either builds confidence in it or quietly forgets it exists.

The most effective sites schedule the first drill within a few weeks of handover, while the system is still front of mind and while any coverage issues can still be addressed easily. Waiting a year means the first real test of the design happens when nobody remembers the detail.

It is also worth confirming who owns the system day to day. Someone needs to be responsible for responding to a fault indication, arranging battery replacement and briefing new staff. Without a named role, that responsibility tends to evaporate.

Schools have the clearest calendar constraints, but offices, healthcare sites and multi-tenant buildings have their own, and they are often tighter because there is no equivalent of a school holiday.

In an office, the usual approach is early mornings, evenings or weekends for anything disruptive, with quieter work during the day. In healthcare settings, clinic timetables and patient areas dictate the sequence, and access to some spaces may be genuinely unpredictable.

Multi-tenant buildings add a coordination layer, because landlord permission, shared area access and other occupiers all need factoring in. That is usually the longest lead item, and it is worth starting before the installation is booked rather than after.

Keeping disruption genuinely local

The principle that makes occupied-building work tolerable is that at any moment, only one small part of the site is affected. Achieving that is a matter of sequencing rather than speed.

In a school, this normally means working through one corridor or block at a time, coordinated with the timetable so that rooms are entered when they are free. A room typically needs only a short window, so a single free period is often enough.

On a wireless system, adding or relocating a device is straightforward, and a reputable installer should expect a small amount of adjustment after the site starts using the system in earnest. Coverage design is informed by survey, but real use is the actual test.

Agree before installation what happens in that situation and whether it is covered. Knowing the answer in advance turns a potential dispute into a routine visit.

Handover is frequently treated as a signature on a form, and it is the point at which most of the value of the project is either secured or lost. A system nobody has been walked through is equipment rather than capability.

The session does not need to be long. Forty minutes with the right people covers everything, provided it is a demonstration rather than a document handover. People need to have physically triggered the system and heard what it sounds like.

The right people are usually broader than expected. Leadership need to understand the decision-making, office and reception staff need to know how to trigger it, and site staff need to know what a fault indication means and who to call.

It is also the moment to agree the practical ownership questions. Who receives monitoring emails, who arranges battery replacement, who briefs new starters, and who schedules the first drill. Left unassigned at handover, these tend to stay unassigned.
